Terms & Conditions OUTDOOR ADVENTURES (PVT) LTD terms and conditions are strictly implemented. We encourage you to read the terms carefully before making any booking for any service from us. GROUP TOUR & PACKAGES: IDENTITY & PERMISSION: All travelers must bring their original identification card, for example: National Identity Card (NIC) or Passport. Participants under the age of 18 must bring photocopy of "Form B" and father's national identity card (NIC) along with parents written permission. A verbal permission is not acceptable under any condition.  MANDATORY IDENTIFICATION DOCUMENTS: It is Mandatory for all guests (Foreign Nationals, and Pakistani Nationals) to provide Photo ID at the time of booking confirmation. Documents as per details given below are applicable for different categories : For foreign nationals – copy of Passport + Visa is mandatory. For Non Resident Pakistani clients – copy of passport. For Overseas Pakistani clients holding POC card – copy of passport and copy of POC card is mandatory. For domestic clients – copy of NIC Card / passport is mandatory in case traveling by air. TOUR SERVICES: OUTDOOR ADVENTURES (PVT) LTD will not provide any other services which are not mentioned in the provided quote, services and itinerary. ACCEPTANCE OF RISK: You acknowledge that the nature of the trip is adventurous and participation involves a degree of personal risk. You will be visiting places where the political, cultural and geographical attributes present dangers and physical challenges greater than those present in our daily lives. We use information from government foreign departments and reports from our own contacts in assessing whether the itinerary should operate. However, it is also your own responsibility to acquaint yourself with all possible relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks attendant upon such travel. TRANSPORT VEHICLES: While traveling through the mountains, during incline and decline areas the air conditioned of the transport vehicle will be adjusted on on-off basis to keep the vehicles from overheating. From classic safari vehicles to off road trucks and converted jeeps in Pakistan, purpose-built vehicles have been designed for tough conditions. The vehicles all come without seat belts. Off road conditions are extremely tough on these vehicles. We hire off road vehicle from 3rd party, While they fastidiously maintain their vehicles, you should not expect your off-road destination to be your traditional touring experience. While it's certainly our aim to avoid them, it's important to realize that the occasional breakdown can happen and are best treated as part of the adventure. Due to wet weather, there may be times when we have to take an alternative route which will mean longer travel times. EXTRA USAGE OF VEHICLE: Please note that the cost of extra usage of vehicle (cars / Jeeps / Vans and coaches with the driver) is not included in the services and hence extra usage of vehicle after transfer or after sightseeing is not allowed. ACCIDENTS, THEFT AND LOST ITEMS: Every possible precaution will be taken for the safety of members throughout the trip. But the trip can run into unforeseen natural disasters like avalanches, crevasse falls, or any other accidents. Unfortunately sometimes such disasters cannot avoided or ruled out. If any type of events occur during the tour, OUTDOOR ADVENTURES (PVT) LTD team leader will not be held responsible under any condition. In case of theft, loss, or damage to personal belongings during the duration of the trip, OUTDOOR ADVENTURES (PVT) LTD team will not be held responsible in any case. Nonetheless, members are expected to pick up personal belongings when leaving an area, vehicle, hotel, restaurant, or camp. PORTERS & HORSES: Porters and horses will be hired to carry common stuff and will not carry any personal stuff of the participants. However, every participant has the right to hire personal porter and horse for personal stuff or for himself/herself. BEHAVIOR: The members should always remember that while traveling with OUTDOOR ADVENTURES (PVT) LTD we travel as a family. Use of violent behavior, altercation, assaults, inappropriate gestures, verbal and physical abuse, aggressive behavior, or any other indecent acts are strictly prohibited. violence will not be tolerated. COMPANY REGISTRATION: OUTDOOR ADVENTURES (PVT) LTD is a registered company. It is operated by a group of members who have the passion for nature. These individuals are skilled and have years of experience in hiking, camping, trekking, and outdoor activities. PHOTOS AND MOVIES: Photos and movies are permitted to be shot during our trip provided it is not objectionable to local people or any participant particularly females. These photos and movies are aimed for personal use only. Publishing those photos and movies on the internet or on any media is not permitted until and unless explicit permission in writing had been sorted out from the people appearing in those photos and Videos. Only OUTDOOR ADVENTURES (PVT) LTD officials has the right to publish group photos in the electronic media for promotion purpose. DRUGS AND ALCOHOL: Using drugs and/or drinking alcohol are strictly prohibited while traveling with OUTDOOR ADVENTURES (PVT) LTD. Any individual found taking part in either selling, drinking, and/or in possession of drugs and/or alcohol will not be allowed to complete the remaining of the trip. Client will not be eligible for any refund. If you witness such an event please report immediately to the person in charge and appropriate action will be taken. CAMPING: If OUTDOOR ADVENTURES (PVT) LTD trip is expected to be an outdoor trip which will require to camp while using tents which will be put together with the help of the participants. All participants are expected to help each other with tents and to follow the instructions of team leader. It should be noted carefully that we will not use hotels for lodging until and unless we are facing unavoidable circumstances or hotel stay is offered by OUTDOOR ADVENTURES (PVT) LTD. FOOD AND BEVERAGE: During OUTDOOR ADVENTURES (PVT) LTD private trips food is not included. if food is in included in given quote, it is possible that food and beverage cannot be given on time. Please keep in mind that we will take care of you as soon as time permits. Any kind of food and beverage will not be included other then included meal. You will pay extra etc. water, cold drinks or coffee during your hotel stay. HEALTH: You are not allowed to join any OUTDOOR ADVENTURES (PVT) LTD Event or activity if you are suffering from any diseases or sickness which is contagious to others who are in trip. Please keep in mind the safety of yourself and other members. You have to be reasonably fit to fully participate in one of our trips, as they do require some level of active participation. To make sure you choose a trip that meets your fitness level. Also check with your doctor to see if any pre-existing medical conditions or medication you are taking will affect your ability to fully participate in the trip. YOUR CREW: All our trips are generally run by few trip leaders and drivers who are passionate about travelling and will ensure your trip is both enjoyable and safe. If you hired a host, leader, guide or driver will provide practical information about the places you’re travelling through and offer suggestions for things to see and do. While not being guides in the traditional sense, you can expect them to have a general knowledge of the places you visit. And to ensure you get the best in local knowledge, we also offer local guides at sites of interest along the way. In addition, on many of our trips, we have a third local crew. It is also good to keep in mind that our crew have to spend time driving and maintaining the overland truck or vehicle. ENVIRONMENT: All members should take their trash and any belongings they wish to discard to appropriate bin or trash can. Please do not throw or leave trash behind. HOTELS BOOKING AND RESERVATIONS: Bookings are not confirmed without advance payments. There is no refund policy after confirm booking and reservation in peak season between (01 May to 30th Sept). Always keep you national identity card (NIC)/Passport with valid visa during your stay. By proceeding with the reservation you accept and agree with (the Hotel) that the reservation (details of which are set out in this agreement), if accepted by us, shall be on the terms and conditions as follows: • The maximum number of guests per room is either 2 adults + 1 children (below 12 years old), or 3 adults, Each person will be charged for each additional adult guest in the hotel. Children who are 12 or younger sleep for free in existing bedding of a room shared with a paying adult. Fees apply for extra mattress or/bed if required. Please contact hotel for more information. • In the event you complete a booking based on a rate that has been incorrectly posted, the Hotel and its agents reserves the right to correct the rate or cancel the reservation at its discretion, and will contact you directly in order to do so. ELIGIBLE AGE FOR CHECK-IN: You must be at least 18 years of age to check-in and register for a room. CHECK-IN AND CHECK-OUT TIME: General Check-in time is from 3:00 pm to 10:00 pm and check-out time is by 10:00 am to 11:00 am. • A valid government-issued identification or passport with valid is required at check-in. • A valid government-issued marriage identification is also required (if asked) at check-in. EARLY ARRIVAL AND LATE DEPARTURE • Should you arrive at the hotel prior to the normal check-in time, you are advised to approach the Hotel's Guest Services Desk for assistance in storing your luggage until check-in is available. If arriving early, you are also advised to consider making a reservation for the evening prior to your arrival. • Late check-outs are available on request subject to room availability and occupancy level. • Please check with the Hotel's Front Desk at least 24 hours prior to your departure on availability of late check-out. A half-day or a full day room charges may be incurred for late check-out and it depends on availability. CREDIT CARD CONFIRMATION • If hotel is not accepting credit/debit cards. it is your responsibility to pay cash at the time of arrival. CANCELLATION POLICY • Reservations made in peak season between (1st May to 30th September) require full prepayment and are non-cancel-able, non-amendable and non-refundable. The entire period of your stay, inclusive of nights between the dates listed above, will be charged full payment or will be charged to your credit card upon reservation. • Cancellation of and/or amendments to your reservation must be made as instructions and conditions given to you in this agreement. • Cancellation or amendment made between (1st October to 30th April) will be 14 days and 336 hours prior to you arrival will incur a cancellation fee instructed by hotel. Normally all room charges of 1 day. • In the event of no-show, a payment (inclusive of any applicable prevailing government tax) will be charged cash or to your credit card provided at the time of reservation. GROUP RESERVATIONS • For reservations for groups of 10 rooms and above, please email at outdoorogc@gmail.com. ADULT AND CHILD BREAKFAST CHARGE: If an adult and child breakfast is not mentioned in the reservation or hotel details, all rooms and suite rates do not include adult and child breakfast charge. Adult and Child breakfast charge is applicable for any age. Breakfast is chargeable to guest account at walk-in price upon consumption. FURTHER INFORMATION: In proceeding with the reservation, you further agree to allow us and our agents to collect, use and disclose to any of our related partners to use your personal data for the purposes of administering, managing and maintaining your customer relationship with us. OUTDOOR TRANSPORTATION & CAR RENTALS: Book with driver vehicles minimum 06 working hours before your pickup/arrival/departure dates. If in mentioned estimate (fuel, toll, entry, parking, fees/charges) are not included, you must pay all these charges if required. At the time of departure, it is your responsibility to note or take a snapshot of the available fuel in the tank with mileage, and at the time of releasing vehicle you must provide fuel or charges for fuel up to the provided level. Also you need to provide timely food and accommodation to the drivers otherwise, you are responsible to pay 750 PKRS per day for food and 750 PKRS per night for accommodation to each driver. Driver/vehicle job is 12 hrs in a day, mostly from 09:00 am to 09:00 pm. Overtime will be charge per hour, (PER DAY VEHICLE RENT / 12 x DELAY TIME IN HRS). After 3 hours of delay full day extra payment will be charge from client/traveler including driver extra expenses. If you are hiring vehicle on a monthly basis you must change vehicle engine oil after each 3000 km. Overloading or extra luggage not allowed if not adjustable in the trunk. You are not allowed to use vehicle in any illegal activity otherwise you will be responsible for any damage or lost. In case of theft, loss, damages, incidents, accidents, or any break down OUTDOOR ADVENTURES (PVT) LTD and any of its employee, guide, driver, team, or member will not be responsible. All charges up to date of the incident will be applied. Nonetheless, members, travelers, and customer are expected to pick up personal belongings when exiting the vehicle. Every possible precaution will be taken for the safety of travelers throughout the journey. But the trip can run into unforeseen natural disasters like avalanches, land sliding, or any other accidents. Unfortunately sometimes such disasters cannot avoided or ruled out. You will be visiting places where the political, cultural and geographical attributes present dangers and physical challenges greater than those present in our daily lives. We use information from government foreign departments or reports from our own contacts in assessing whether the itinerary should operate. However, it is also your own responsibility to acquaint yourself with all possible relevant travel information and the nature of your itinerary. To make sure you choose a destination that meets your fitness level. Also check with your doctor to see if any pre-existing medical conditions or medication you are taking will affect your ability to travel. Personal insurance, medications, evacuation, phone calls, and personal expenses, due to road blocks, and /or other reasons are the responsibility of each individual on board, these services are not included. BOOKING AND RESERVATIONS: Confirm your booking minimum 5 to 6 weeks prior to your arrival, departure and/or desire dates. Bookings are available on a first come, first served. All quotes will expire after 24 hours of receiving if not confirmed with payment. OUTDOOR ADVENTURES (PVT) LTD. reserve the right to cancel bookings/orders without any prior notice. On confirmation of booking your contract is with OUTDOOR ADVENTURES (PVT) LTD. A contract exists between us when we confirm your tour/travel services and have received the deposit amount from your end PAYMENTS: All correspondence(s) in respect of Tours / Travel Services and bookings should be addressed to OUTDOOR ADVENTURES (PVT) LTD. For the services contracted, a minimum deposit of 50% of the total cost is to be paid to OUTDOOR ADVENTURES (PVT) LTD. The deposit is required to hold the booking on confirmed basis. BALANCE PAYMENT: Balance payment is to be made 15 days prior to the date of start of services. Any booking made within 15 working days of the date of services would be considered to be a late /or urgent booking and for same the full and final payment is required to be made at the time of booking itself. Apart from above, in the case of bookings for special train journeys, hotel or resort bookings during the peak season (Independence Day, Eid, New Year, Summer Holiday etc) full payment is required to be made at the time of booking itself. MODE OF PAYMENT: Domestic clients can make a payment using any of the following methods:- By Online Debit/Credit Card Payment. By Cheque (15 days prior to the date of services. By Bank Transfer (RTGS & NEFT). All payments should be free and clear of any withholding tax and deduction. Bank charges, if any, for remittance (by remitting bank or by intermediary bank) would be strictly borne by payer. Please ask for a revised invoice, In case of any changes in percentage. Travelers more than mentioned number of people will pay extra per head. IMPORTANT NOTES: All Payments are non-refundable. All rates are subject to change without any notice. The rates quoted are in Pakistani PKRs and based on mentioned services, packages, quantity, dates, number of items, days, nights, people, location, activities, period of stay, car rental vehicles, travel arrival and/or departure dates only. Rates are subject to change as a result of changes in mentioned services, packages, quantity, dates, number of items, days, nights, people, location, activities, period of stay, car rental vehicles, travel arrival and/or departure dates. All prices may vary by quantity, number of items, days, nights, people, location, activities and season. 50% of the total payment is due at booking time, remaining balance will be collected within 15 days before departure/arrival. All rates are exclusive of all government tax, commercial Invoice will be given. We do not accept cash, check, or on spot payments, to any other account, or person. All payments are transferable via ATM, banks and internet (online) banking only on given account below. We are not responsible for any other account. Keep receipts for your records as proof of payments, it may requested later to resolve any unforeseen issues. POLICY REGARDING CANCELLATION / NO-SHOW / EARLY DEPARTURE : There is no refund policy in peak season (from 1st May to 30th September). In case of cancellation of tour/travel services between (1st Oct to 30 April) due to any avoidable/unavoidable reason/s we must be informed in writing. Cancellation charges would be effective from the date we receive letter in writing and cancellation charges would be as follows : #CANCELLATION_CHARGES_AND_REFUND_POLICY All deduction and refund is from the total payable amount. Refund Policy (1st Oct to 30 April). 45 days 1080 hrs prior to arrival/departure 25% deduction 75% refund of the tour/service cost 30 days 720 hrs prior to arrival/departure 50% deduction 50% refund of the tour/service cost 15 days 336 hrs prior to arrival/departure 75% deduction 25% refund of the tour/service cost 07 days 168 hrs & less. prior to arrival/departure or no show 100% deduction 0% refund. NO REFUND Note:- Irrespective of mentioned cancellations slabs - in case of cancellation of tour / travel services after the booking is made with us - a minimum 10% service charges would be applicable. In case you cancel the trip after commencement refund would be restricted to a limited amount that too would depend on the amount that we would be able to recover from the hoteliers we patronize. For unused hotel accommodation, chartered transportation and missed meals etc. we do not bear any responsibility to refund. In case of special train journey (Green Train etc) - a separate cancellation policy is applicable (which would be advised as and when required). Please note that if booking for the following period is/are cancelled, due to whatsoever reason, no refund would be made for said cancellation. High Peak Season bookings (from 1st May to 30th September). Festival Period Bookings (Festivals like - Eid Holidays, Independence Day, New Year, Summer Holidays etc). Long Weekends Bookings. REFUND: In regard to refund of unused / unutilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of cancellation policy as described and the money would be accordingly refunded to the person who has made the payment to us. Please note that the refund process may take 2 - 4 weeks due to banking procedures. If the refund is made to the credit card account OR to Bank account, the bank charges would be debited from the refund amount. ITINERARY AND TRIP CANCELLATION: During the trip, itineraries may be altered due to circumstances which are beyond the control of the OUTDOOR ADVENTURES (PVT) LTD, organizer, administrator, manager, tour guide, host, trainer, team leader or driver. This may result in cutting the trip short or staying for extra days. In such a situation, OUTDOOR ADVENTURES (PVT) LTD, organizer, administrator, manager, tour guide, host, trainer, team leader or driver will not be held responsible for extra expenses or any refund. If these OUTDOOR ADVENTURES (PVT) LTD trips are affected by weather, local politics, transporting and/or other factors which are beyond the control of organizers. This can result in a change of itinerary. It is, however, very unlikely that the itinerary would be substantially altered; if changes are necessary OUTDOOR ADVENTURES (PVT) LTD, organizer, administrator, manager, tour guide, host, trainer, team leader or driver will decide what is the best alternative, taking into consideration the best interests of the whole group. OUTDOOR ADVENTURES (PVT) LTD reserves the right to cancel the trip before departure without prior notification for any reason deemed appropriate by them. OUR LIABILITIES & LIMITATIONS Please note that after the finalization of the tour/service cost, if there are any hikes in entrance fees of monuments, museums, forts, lakes, waterfalls, taxes, fuel cost, or guide charges by the Govt. of Pakistan, the same would be charged as extra. OUTDOOR ADVENTURES (PVT) LTD rates are based on the prevailing rates as negotiated by us with the hotels, airlines, transporter, rent a car, railways, etc. hotels, transporters, rent a car, and airlines, railways retain the right to modify the rates without notice. In case of such change - the rates quoted by us before modification can be changed by us according to the modifications by hotels, transporter, rent a car, railways, or airlines. OUTDOOR ADVENTURES (PVT) LTD and its associates acts only in the capacity of an agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us - are issued subject to terms & conditions under which these services are provided by them. The tickets, coupons or passage contract in use by carrier / hotel, transporter, rent a car, or other contractors rendering services shall constitute the sole contract between the client and contractor. OUTDOOR ADVENTURES (PVT) LTD - itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. OUTDOOR ADVENTURES (PVT) LTD reserves the right to amend any aspect of the itinerary including transportation and accommodation without notice in the interest of the trip participants' safety, comfort and general well being without making any rebate, allowance or refund and extra cost, if any, would be payable by the traveler, client or customer. OUTDOOR ADVENTURES (PVT) LTD shall not be responsible for any delay or change in program or expenses incurred or special / consequential loss, injury and damage - directly or indirectly - due to natural hazards, flight cancellations, accident, breakdown of machinery or equipment, breakdown of transport, weather, sickness, landslides, political closures, acts of God, perils incident to the sea, floods, fire, acts of Government or any other authorities, wars, civil disturbances, riots, theft, pilferage, epidemics, quarantines, medical or custom department regulations, defaults, or any other causes beyond our control or any untoward incidents or any such causes whatsoever including any liability or extra expenses sustained by the traveler/client/customer. Further, the traveler/client/customer shall be liable for the liability or extra expenses incurred by him / her as a result of the forgoing causes. Medications, phone calls, and personal expenses, due to road blocks, evacuation, and /or other reasons are the responsibility of each individual on board, these services and charges are not included. OUTDOOR ADVENTURES (PVT) LTD shall not be responsible and shall not accept any liability towards the traveler/client/customer or his/her legal representative for any loss of property or damages resulting from death or injuries including loss of services which the traveler/client/customer may sustain on account of act, negligence or default by any transportation company, hotel agents or any other body of persons, its agents or service providers providing such services or facilities or arising out of or while engaged in any tour, means of transportation or other services, whether due to ownership, maintenance , use, operation or control of any automobile, bicycle, boat, motor, or other vehicle in common carrier or otherwise and whether due to its or there negligence or otherwise or regardless of how caused. traveler/client/customer using sporting equipment, rafting, climbing, skiing, camping, bicycles, sailing boats, swimming, scuba diving gear, hired or supplied by hotels or rental bodies shall do so at their own risk. OUTDOOR ADVENTURES (PVT) LTD do not have any insurance policy covering the expenses for accident, rescue, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their own to their home country. All baggage & personal property/s at all times are at the client's risk. OUTDOOR ADVENTURES (PVT) LTD reserves the right to cancel any services in case it deems that the tour, trip or passage is impracticable for any reason or should circumstances warrant such action, upon refunding the value thereof and the traveler/client/customer shall not have any other or further claim against the company by any reason thereof. OUTDOOR ADVENTURES (PVT) LTD reserves the right to refuse to carry out its contract with any person whom it may consider to be undesirable in its absolute discretion and it shall not be required to show any reason for doing so. Jurisdiction Clause : All disputes arising out of this agreement or any other subsequent agreement would be subject to Islamabad Courts only.
